Refund & Cancellation Policy
This Refund & Cancellation Policy describes how DigitalNex Solution (“DigitalNex”, “we”, “our”, “us”) generally handles requests to cancel paid digital services and requests for refunds. We work with established authors, publishers and publishing businesses on custom websites, branding, SEO, content, email marketing and related digital services. Because each engagement may involve tailored work and scheduled staff time, this Policy should be read together with the quotation, Statement of Work (SOW), Master Service Agreement (MSA), invoices and any other written terms agreed with the client.

1. When This Policy Applies
This Policy is intended for paid service engagements purchased directly from DigitalNex Solution. Viewing our website or requesting a free consultation does not create a paid contract or refund entitlement. Purchases from third-party platforms, retailers, hosting providers or advertising networks are governed by those providers' separate terms, unless an agreement expressly states that we are the seller of record.
2. Written Proposal and Payment Terms Control
Before accepting a paid engagement, the client should receive a written scope describing the services, deliverables, revision rounds, expected schedule, total fee, any deposit or milestones, payment dates, client obligations and special cancellation or refund provisions. Where a mutually signed agreement contains terms that differ from this general Policy, that agreement will govern to the extent permitted by applicable law. Mandatory legal rights remain unaffected.
3. Changes of Mind Before Work Begins
If a client requests cancellation before the agreed work has started, we will review whether paid planning, discovery, reserved specialist capacity, commissioned third-party materials, setup activity or other documented commitments have already occurred. Any refund will be assessed using the signed engagement terms, the amount actually paid, work completed and third-party costs that are legitimately non-recoverable. We will explain any deductions and refund decision in writing.
4. Cancellation After Work Has Started
Custom digital work may include strategy, research, UX, visual design, development, content preparation, campaign configuration and project management. If cancellation is requested after work starts, the client remains responsible for charges that are properly due for work completed up to the effective cancellation date, accepted milestones and authorized non-recoverable external costs, according to the signed agreement and applicable law. We will provide a reasonably itemized account where appropriate.
Unused prepayments, if any, will be assessed against agreed fees and lawful deductions. We do not apply an automatic blanket 'no refunds under any circumstances' rule. Nor does cancellation itself guarantee a full refund of all prior payments.
5. Deposits and Reserved Capacity
Any deposit, advance payment, booking fee or milestone prepayment must be described clearly before the client commits. Whether a deposit is refundable depends on the agreed terms, time already spent, capacity reserved, third-party commitments and mandatory law. We will not retrospectively invent a non-refundable deposit condition that was not fairly disclosed before payment.
6. Deliverables, Revisions and Dissatisfaction
A reasonable request to correct work that does not meet the agreed written scope should be addressed under the documented revisions, defect-correction and acceptance process. Dissatisfaction with aesthetic preferences, a change of business direction or requests for materially new features do not automatically establish a right to refund all fees. Where we fail to provide agreed work, we will investigate and propose an appropriate remedy, which may include completing/correcting the deliverable, a fair price adjustment or a refund as required by the agreement and applicable law.
7. Delays and Failure to Provide Required Client Materials
Clients may be responsible for timely provision of agreed content, approvals, credentials, book assets, feedback and other necessary inputs. Delays caused by missing inputs or changed requirements may affect timelines and may require a written reschedule or change order. We will communicate material changes. Delay terms and cancellation rights for both sides must follow the signed agreement and applicable law; we will not retain payments merely as a penalty without a valid basis.
8. Ongoing Retainers and Monthly Services
For SEO, social media, marketing management, maintenance or other recurring services, the signed agreement will state the billing period, minimum commitment (if any), notice requirements, work allocation and cancellation effective date. Charges for approved services already performed remain payable. Any eligible unused prepaid balance or refund will be handled in accordance with the agreed terms and mandatory law. Advertising budgets, platform subscriptions and third-party fees may be billed separately.
9. External Advertising and Third-Party Costs
Payments made directly to Meta, Google, domains, hosting companies, email software vendors, stock libraries or other third-party services are generally governed by the vendor's policies and may not be refundable by DigitalNex. Where DigitalNex has purchased an authorized external service on a client's behalf, we will identify the cost and whether it can be recovered. We do not represent that we can reverse a third party's completed charges.
10. How to Request Cancellation or a Refund
Email Info@digitalnexsolution.com with the subject “Cancellation or Refund Request”. Include your name, project or invoice reference, relevant agreement or milestone, reason for the request and what resolution you are seeking. For privacy, do not email full card information or account passwords. We may ask for reasonable evidence or identity verification to ensure requests are handled securely.
11. Review, Response and Refund Method
We will acknowledge and assess requests within a reasonable period and provide a written outcome or request additional information. Any specific response deadline or refund-processing timeline must match our actual operating policy and the applicable payment provider; none is guaranteed in this draft. Approved refunds will normally be made via an appropriate method supported by the original payment arrangement, subject to provider rules and applicable law. Foreign exchange movements and third-party processing fees may affect the amount received where permitted and clearly disclosed.
12. Disputes and Consumer Rights
Please raise a concern with us promptly so we can review the project record and seek a practical resolution. Nothing in this Policy limits rights or remedies that cannot be excluded under relevant consumer, contract, payment-services or other mandatory laws. Refund and chargeback procedures operated by banks, card issuers and payment platforms may apply separately.
13. Changes to This Policy
We may update this public Policy as our services and operating procedures evolve. Updates apply prospectively unless otherwise permitted by the governing agreement and law. We will not unilaterally change the agreed fees or cancellation rights of an existing signed engagement solely by updating a website page.
